APA Capitalization Rules Every Grad Student Gets Wrong
Capitalization errors are the most repeated comment in dissertation feedback, and for good reason. APA 7th edition uses two different capitalization systems depending on context, and knowing which one applies where is something most graduate students never fully learn until their committee tells them they got it wrong.
The Two Systems: Title Case and Sentence Case
Title case capitalizes the first letter of most words. Sentence case capitalizes only the first word of a sentence and proper nouns. APA 7 uses both, but in different places, and mixing them up is one of the most common errors in academic writing.
Title case is used for the titles of works when they appear in the body of your paper, for journal names in your reference list, and for Level 1 and Level 2 headings in your document.
Sentence case is used for everything else, including the titles of articles and books in your reference list, items in lists, table titles, figure captions, and the text within your headings at Levels 3, 4, and 5.
What Students Get Wrong Most Often
The most frequent mistake is capitalizing theories, concepts, and general terms as if they were proper nouns. Social learning theory is not capitalized. Critical race theory is not capitalized. Qualitative research is not capitalized. These are general concepts, not proper names, and APA treats them accordingly.
The second most common mistake is applying title case to reference list entries. If you are listing an article titled "The effects of sleep on academic performance," every word except "The" and "on" should be lowercase in your reference list entry.
Proper Nouns Are the Exception
Proper nouns are always capitalized regardless of context. Names of specific people, organizations, places, programs, and instruments follow standard capitalization rules. The difference between "a qualitative study" and "the Rosenberg Self-Esteem Scale" illustrates this clearly. One is a general method, the other is a named instrument.
A Practical Fix
